Manage your tasks and use the timer
Create tasks, work through checklists, time your work and assign tasks to your team.
Before you begin
You hold the tasks permission. A manager can assign tasks to themselves and their team. Other employees can create tasks only for themselves.
Create a task
- Open Employee Self Service > Tasks.
- Click New task.
- Type the Title. A blank title gives 'Give the task a title.'
- Fill Project, Due date and Priority (Low, Medium, High, Urgent).
- Choose Repeats: Does not repeat, Daily, Weekly or Monthly.
- If you manage people, choose Assign to: yourself or a team member. Someone outside your team is refused: 'You can assign tasks only to yourself or your team.'
- Type the Checklist, one item per line.
- Click Save.
The task is numbered TSK-00001, status Not started.
Work a task
The tabs are Assigned to me, Due today, Upcoming, Overdue, Assigned by me, Recurring, Completed and All. Search matches title, reference and project. Open a task to:
- Change Status: Not started, In progress, Waiting, Blocked, Completed or Cancelled.
- Tick checklist items. Progress becomes the share ticked: 1 of 3 is 33 %, 2 of 3 is 66 %. Moving the progress slider above 0 changes Not started to In progress.
- Add a Comment. A blank comment gives 'Write the comment.'
- Click Mark complete. Progress becomes 100 % and the person who assigned the task is notified.
Time your work
- Click Start timer when you begin.
- Click Stop when you finish.
Stopping logs the minutes to the task and creates a draft timesheet line. Example: start at 14:00 and stop at 15:30 logs 90 minutes and a draft line of 1.50 h. Starting a second timer stops the first, so only one timer runs. A stop under a minute logs nothing. Only the person doing the task can time it: 'Only the person doing the task times it.'
To enter time by hand click Log time, give hours (and minutes) and a note. Example: 1.5 h plus 15 min is 105 minutes, with a draft timesheet line of 1.75 h. The messages are 'Enter between a minute and a day.' and 'Time is logged for today or earlier.'
What happens next
Draft timesheet lines wait in Timesheets until you submit the period: Log time and submit your timesheet. A recurring task creates the next task when you complete it, with the checklist reset. A weekly task due 9 October gives a new one due 16 October. A monthly task adds 30 days: due 31 January 2027 gives 2 March 2027.
Good to know
- Tasks assigned to you by a manager notify you with 'New task'.
- A manager sees the tasks they gave in Assigned by me; tasks you give yourself are hidden from that tab.
- Progress must be a whole number from 0 to 100.
- The task list is also visible on Home and in My Team.
