Configure lists, teams, technicians and company switches

Maintain the code lists, locations, teams, technicians, settings, feature switches and field rules.

Required permission: maintenance.configure; company administrator for Features and Fields

Before you begin

You need maintenance.configure. Switching features and field rules is done by the company administrator under Administration > Applications > Maintenance.

The lists under Maintenance > Configuration work the same way.

To add a value:

  1. Open the list and click Add.
  2. Enter the Code, Name and Arabic Name. Codes are stored in capitals and spaces become underscores.
  3. Confirm.

A code already in the list gives 'That code is already in this list.' and an empty name gives 'Give it a name.' Untick Active to retire a value from the form drop-downs.

Note:

A switched-off value is hidden in most drop-downs, but the system may still accept it if sent by an integration, and New Asset can still list inactive asset types. Do not rely on switching off alone to block a value. Downtime reasons and skills have lists but no configuration menu yet.

Locations

  1. Open Maintenance > Assets > Locations and use the Add Location form (needs configure permission).
  2. Enter the Code (capitals, unique) and Name.
  3. Choose Inside to nest it and the Kind: Site, Building, Floor, Area or Room.

A used code gives 'That code is already used.' A location cannot be placed inside its own child.

Teams and technicians

  1. Open Maintenance > Configuration > Maintenance Teams and click New. Enter code, name, leader and a description.
  2. Open Technicians and click New. Choose the Employee: 'Choose the employee.' if empty, and 'That employee is already a technician.' if repeated.
  3. Fill Maintenance Team, Skills (up to 20), Certification, Shift and Availability (Available, Busy, On leave).
  4. Enter Hourly Cost if you have cost permission. It is used to cost labour.

An employee linked to a user then sees My Work.

Maintenance Settings

Open Maintenance > Configuration > Maintenance Settings, change the rules and click Save. The system answers 'Saved.' and records 'Settings changed' in History. The settings are described in Get started. Calibration Settings opens the same form.

Feature switches and field rules

  1. Open Administration > Applications > Maintenance.
  2. On Features, turn Inspections, Calibration, Warranty and claims, Service contracts and vendor visits, and Meters and condition monitoring on or off.
  3. On Fields, set Asset manufacturer, Asset serial number, Request location, Warranty reference and Calibration certificate to Normal, Hidden or Required.

When a feature is off, its menus disappear and saves are refused with '<feature> is disabled for this company.' Existing records stay readable. When a field is Hidden, it disappears and a value sent is refused: 'Asset manufacturer is turned off for this company.' When Required, saving without it is refused: 'Asset serial number is required by this company.'

Note:

Turning off Meters hides only the Meters menu. Alert rules, sensors and the reading on completion still work.

What happens next

Changes apply at once to everyone in the company. Existing records are not changed.
