Run a job as a technician

Find your jobs in My Work, start, pause and resume them, work through the tasks and record hours.

Required permission: maintenance.workorder.start

Before you begin

  • Your user must be linked to an employee, and that employee must be set up as a technician. If not, My Work is empty.
  • The job must be assigned to you and not in Draft when the company requires approval.
  • Starting needs maintenance.workorder.start.

Find your jobs

  1. Open Maintenance > Maintenance > My Work. Your open jobs appear as cards with number, status, issue, asset, type and planned start.
  2. To open an asset from the field, type or scan its code, barcode or NFC tag in the box and click Open Asset. An unknown code gives 'Asset not found.'; an empty box gives 'Scan or type the code.'

Operations > Technician Jobs shows one technician's open jobs from a drop-down. The full Work Orders list shows everyone's jobs to anyone with view permission.

Start the job

  1. On the card (or in the work order) click Start Work.
  2. If no technician is on the job the system says 'Assign a technician before starting.'

Starting does several things at once:

  • The status becomes In Progress and the actual start is stamped.
  • A labour timer opens for you, at your hourly cost.
  • The asset becomes Under Maintenance.
  • A downtime period opens: planned for preventive types, unplanned for repairs. If a downtime from a breakdown report is already running, it is linked to this job instead of a second one.

Pause and resume

  1. Click Pause Work and type the reason, for example Waiting for permit to work. An empty reason is refused: 'Say why the job is paused.'
  2. Click Resume when you carry on.

Waiting time is not paid. Example: you start at 09:00, pause at 10:30, resume at 11:30 and complete at 12:00. Two labour lines are created, 1.50 h and 0.50 h. At 80 AED an hour that is 120.00 + 40.00 = 160.00 AED. The hour on hold is not charged, but downtime runs for the whole three hours.

Other waiting states: More > Waiting for Parts and More > Waiting for Vendor also stop the labour timer. Resume returns to In Progress.

Work through the tasks

  1. Open the Tasks tab.
  2. Set each task to In Progress, Done or Skipped. Enter Actual Time and Result if useful. They save when you leave the box.
  3. A task marked Skipped needs a result: 'Say why the task is skipped.'

The job cannot be completed while any task is Open or In Progress.

Note:

In the current screens the task status, hours and failure analysis controls are shown to people who can create work orders. If you are a technician without that permission and cannot see them, ask your manager to update the tasks, or to give you the permission.

Record typed-in hours

  1. Open the Labor tab and click Record Labor.
  2. Choose the Technician (it defaults to the job's technician).
  3. Enter the Hours, more than 0, and an optional Note.

Cost is hours times the technician's hourly cost, or the company default rate when the technician has none. Example: 2.5 h at 85.00 AED is 212.50 AED. Lines made by the timer cannot be deleted; only typed-in lines can ('Only typed-in hours can be removed.').

What happens next

When the work is done, complete the job: Complete, close, reopen and cancel. Parts are handled in Spare parts on work orders.

Good to know

  • Every action is written to History with who, when and the status before and after.
  • A job that is In Progress cannot be cancelled. Pause it first.
  • A job on a Decommissioned or Disposed asset never moves the asset's status.
