Assets

What it is for
The register of every asset: what it is, where it is, cost, depreciation taken and book value
List: columns and filters
Number, Asset, Tag, Category, Location, In use since, Cost, Depreciation, Book value, Status. Tabs Running (default) / Draft / Disposed / All. Search (number, name, tag, serial, location), sort on number, name, tag, in use since, cost, status, location; paging. No column filters
Buttons and actions
New (asset.manage); click a row to open the asset
Permission needed
asset.view (list); asset.manage (New)

Asset record

What it is for
One asset: identity, acquisition, depreciation terms, its monthly schedule, its changes and physical checks
List: columns and filters
Cards: Asset, Acquisition, Depreciation, Schedule (one table per book, tax/management books folded), Changes, Physical checks. Smart tiles Cost, Depreciation, Book value. Stage bar Draft > Running > Disposed. Activity log
Buttons and actions
Save / Discard / Edit (draft only, asset.manage); Capitalise (draft, asset.approve); Transfer, Impairment, Estimate change, Disposal, Record a check (running, asset.manage)
Permission needed
asset.view; asset.manage; asset.approve for Capitalise

Change dialogs

What it is for
Propose a change to a running asset; it takes effect only when somebody else approves it
List: columns and filters
One dialog per kind: Effective date, kind-specific fields, Reason
Buttons and actions
Send for approval, Cancel

asset.manage (propose); asset.approve (decide)

Asset record > Record a check

Physical check dialog

What it is for
Record that an asset was found, missing or damaged; the books never change
List: columns and filters
Result, Checked on, Where, Note. History appears in the Physical checks card

Fixed Assets > Depreciation runs

Depreciation runs

What it is for
Propose, approve and post the monthly depreciation of every running asset
List: columns and filters
Number, Up to, Rows (posted / total), Depreciation, Proposed by, Status. Tool bar: month picker + Propose run. Run dialog lists asset, month, amount, status and refusal reason
Buttons and actions
Propose run (asset.manage); in the run dialog Approve and post (asset.approve), Cancel run (asset.manage), Close

Fixed Assets > Changes to approve

Asset changes

What it is for
The approval queue for transfers, impairments, estimate changes and disposals
List: columns and filters
Number, Asset, Change, Effective, Detail, Reason, Proposed by, Status. Tabs To approve (default) / Approved / Rejected / All
Buttons and actions
Approve, Reject (asks for a reason) - shown only to asset.approve holders on rows still To approve

Asset roll-forward

What it is for
Cost and depreciation by category over a date range, set beside the ledger so a difference shows
List: columns and filters
Per category: Opening cost, Additions, Disposals, Closing cost, Opening depreciation, Depreciation, Depreciation disposed, Closing depreciation, Impairment, Book value; totals row; 'Against the ledger' table (Account, What, Register, Ledger, Difference) with Agrees / Differences badge
Buttons and actions
From, To, Book pickers (no buttons; the report reloads as you change them)

Asset register

What it is for
Every capitalised asset with its balances as of a chosen date
List: columns and filters
Number, Asset, Category, Location, In use since, Cost, Depreciation, Impairment, Book value, Status (Running / Disposed). Financial book only. As-of date picker

As of date; list tools (search, columns)

Asset categories

What it is for
The template for a group of assets: method, life, residual % and the seven accounts depreciation and disposal post to
List: columns and filters
Code, Name, Method, Life (months), Accounts (cost / accumulated / expense), Assets (count), Status. Dialog with every setting
Buttons and actions
New; open row; in dialog: Use the standard asset accounts, Save, Activate (asset.approve), Close

Depreciation books

What it is for
The financial book (posts to the ledger) and tax or management books (own depreciation, post nothing)
List: columns and filters
Code, Name, Purpose, Posts to the ledger. Add row: Code, Name, Purpose + Add book
Buttons and actions
Add book (asset.manage). The financial book FIN is created automatically the first time books are read
Permission needed
