Set up teams, masters, scoring and features
Create sales teams, maintain the configuration lists, tune lead scoring and criteria, and switch features on or off.
Before you begin
Plan who sells what: which teams exist, who manages each, and which sources, loss reasons and criteria you need.
Sales teams
- Open CRM > Configuration > Sales teams as an administrator and press New team.
- Enter the Name (up to 80 characters).
- For each person choose the role: Representative, Team manager, Read only, or none. Up to 200 members, each once.
- Press Save.
Team membership is record scope. A representative sees and changes the deals of their teams. A manager can also reassign, reopen and adjust forecasts. A Read only member sees but cannot change, and cannot be chosen as an owner. Changing membership takes effect on the person's next request. A deal's team must be active.
Lead sources and tags
Lead sources and Tags are simple lists (name, status). People can also type new entries on a lead. Archive entries instead of deleting them.
The configuration masters
Each master lives under CRM > Configuration and needs crm.configure. Every master has a Code (letters, digits, - or _, up to 32, stored in capitals and unique). The code cannot change after saving. Masters are archived with the Active switch, never deleted. If two people edit one, the second sees 'This record changed. Reload it before saving.'
| Master | Use |
|---|---|
| Pipelines | Named pipelines; one is the default. |
| Loss reasons | Reasons offered when closing. Category: lost, disqualified or both. Needs a note forces a written note. |
| Lead mediums | Channel type of a lead: organic, paid, e-mail, social, event, referral, partner, other. |
| Campaigns | Marketing campaigns with channel, dates, budget and owner. An end before the start is refused: 'A campaign cannot end before it starts.' |
| Qualification criteria | Questions to answer before qualifying. |
| Lead scoring | Point rules. |
| Territories, Assignment rules, Coverage delegations, Territory access | See Assignment, territories and cover. |
| Activity types | Channel, default length (0 to 1,440 minutes), outcome required and codes, reminder (0 to 10,080 minutes), escalate after (0 to 720 hours), consent purpose. |
| Task sequences | A numbered set of 1 to 30 follow-up steps. |
| Competitors | The list a deal's Competitors tab uses. |
| Quotas, Account plans | See Forecast and quotas and Reports and analytics. |
| Connectors | See Connectors. |
Qualification criteria
- Open Qualification criteria and press New.
- Enter Code, Name, Data type (text, number, yes or no, date, choice), and for a choice the Choices, comma separated.
- Set Required to qualify and the Pipeline (blank means every pipeline).
- Optionally set Read from deal field (budget, authority, need, expected close, expected value, partner, competitor or next step) so the answer comes from the deal.
- Save.
Changing the meaning of a criterion creates a new version; changing only the Arabic name does not.
Lead scoring
Open Lead scoring. The rules are a list in the dialog. Each has a field, an operator (present, absent, eq, ne, gt, gte, lt, lte, in, contains), a value, points (-1000 to 1000) and a label. The built-in policy has seven rules totalling 100: e-mail 10, phone 10, budget above zero 20, decision maker 15, need 15, close date 10, customer 20.
Saving a changed policy raises its version. Existing deals keep their old score until the next save of the deal or a re-score. There is no re-score button in the screens yet.
An example rule: {"field":"budget","op":"gt","value":0,"points":20,"label":"Budget stated"}. Answers to qualification criteria count with the field qualification.<code>.
Feature switches
An administrator with company.manage opens Administration > Workspace > Apps > CRM > Features and can turn off Forecast and quotas, Lead scoring, Campaigns and responses, Duplicate review and Lead imports. A switched-off feature refuses new entries and hides its menus; history stays readable.
Turning off Lead scoring, Campaigns or Quotas does not yet stop edits on their master screens in Configuration. It stops re-scoring, responses, forecast submissions and quota approval.
Good to know
- A stage with open deals cannot be archived. Reasons and masters in use are archived, not deleted.
- 'Give it a short code: letters, digits, - or _.' and 'Another record already has that code.' are the code rules.
