Price lists and analysis dimensions
Price products for chosen customers and quantities, and set up the cost centres, projects and other values tagged on postings.
Before you begin
You need reference.manage. Products must exist, and customers or groups for any list that is not for everybody.
Create a price list
- Go to Administration > Masters > Price lists and click New price list.
- On General, type a Code (up to 24 characters, unique) and Name. An existing code gives '<code> is already a price list.'
- Enter the Currency, for example
AED. It is upper-cased and not checked against your currencies, so type it carefully. - Choose Status. A new list is Draft. Only Active lists price documents.
- Tick Prices include tax if the prices are tax-inclusive.
- Set In use from and until if the list is seasonal. The end cannot be before the start: 'A price list cannot end before it starts.'
- Open Prices. Add products, one row for each product, unit and quantity break. Enter Unit, From qty, Price (0 or more, two decimals) and optional dates. You can add every product at once, and lock a row so it survives bulk changes. Two rows with the same product, unit and quantity give 'Two prices for the same product, unit and quantity.'
- Open Assignments. Choose For: One customer, Customer group (B2B or B2C), Sales channel, or Everybody, and then Who. 'One customer' with none chosen gives 'Say which customer this list is for.'
- Set the status to Active and Save.
Worked example
List B2B-OCT is assigned to customer Gulf Trading LLC. Product P has a standard price of AED 100. The list prices P at AED 90, and AED 80 from quantity 10. A quotation for Gulf Trading for 5 units uses AED 90. For 12 units it uses AED 80. Another customer gets AED 100. If you set the list to Draft or Inactive, Gulf Trading gets AED 100 again.
Good to know
- The header Priority number is saved but is not used to choose between two lists for the same customer. Avoid giving one customer two active lists.
- A draft list never prices a document.
Analysis dimensions
A dimension value is a tag on accounting postings. The four dimensions under Administration > Dimensions are Cost centres, Departments, Projects and Profit centres.
- Open the dimension, for example Cost centres, and click New record.
- Type a Code (2 to 30 letters, digits,
_or-, upper-cased, unique in that dimension) and Name. Optionally add an Arabic name. - Choose Rolls up to to build a hierarchy. A value cannot be its own parent: 'A value cannot be its own parent.' Cycles are refused.
- Set Open from and Closed after if the value has a life span. 'The closing date cannot precede the opening date.'
- Save.
To retire a value, use Close this value. A posting dated after the close is refused: '<code> is not available for a posting dated <date>.' Use Reopen to bring it back.
Require a dimension on every posting
On the dimension list, switch on Required on every posting in this company. It saves immediately. From then on a posting without a value is refused: '<Type> is required on every posting.' Switch it off to relax the rule.
